TERMS AND CONDITIONS

BOOKING TERMS

·            Your order confirmation details your booking and constitutes a binding contract with us and confirms your requirements which were received by us whether verbally or in writing.  Once this has been issued our cancellation policy applies.

·            Cancellations must be received by the copy deadline otherwise that months advert will still be charged for and may be included in the magazine.

  •               Permanent advertisers will have their adverts run on a continuous and consecutive basis until such time as they notify Big Voice in writing that they wish to cancel.

    • ·            If you cease trading or your circumstances change it is your responsibility to contact us to remove your advertisement by the next copy deadline otherwise you will still be liable and invoiced for the cost. 

    ADVERTS

    ·            Your company must provide products or services to the residents and businesses of the area in which you are choosing to advertise.

    ·            It is the responsibility of the advertiser to ensure that correct information is provided about the business and that advertisement information is legal and copyright free.  We cannot accept advertisements for publication that you do not have permission to copy unless you can provide written authority to do so.  This includes images, logos, clip art or any other content used.  We will not incur any charges to this effect.

    ·            We reserve the right to refuse advertisements which may be defamatory or offensive or which promote products that may be considered indecent.

    ·            Advertisements must comply with the British Code of Advertising Practice.

    ·            Advertisement proofs or advertisement files must be sent to us by the copy deadline date which is printed in the magazines and shown on our website otherwise we cannot guarantee to include your advertisement in the next edition.  You will still be charged for the space booked.

    ·            Advertisements will be printed as per the proof or pre-prepared format supplied by the customer.  It is the responsibility of the advertiser to advise Big Voice Directories of any changes required by copy deadline otherwise we cannot be held liable for changes required but not made in time.

    ·            Advertisements submitted to us should be in at least one of the following formats:
    MS Publisher,  MS PowerPoint, JPEG, Bitmap, TIFF, or PDF. In a minimum of 300 DPI, they may be submitted by E-mail to editor@bigvoicedirectories.co.uk or sent to us on a cd.  Pre-prepared formats (eg:  jpeg/pdf) will be inserted into Big Voice as supplied and may be resized to fit the space booked.

    ·            Advertisements which have been designed by Big Voice Directories cannot be reproduced without prior written permission. A release fee of £15 will apply for each reproduction request.

    ·            Artwork will be created and/or altered according to our current price list.

    ·            Big Voice Directories make no guarantees or promises that your advertisement will be successful or otherwise.  We cannot refund you if you do not receive the desired response.  It is recommended that a minimum booking of 6 months is made to ensure the best chance of success.

    PAYMENT TERMS

    ·            You agree to our payment terms when you book space in one of the Directories. This is also shown on our invoices as due on receipt.

    ·            The amount payable will be sent to you as part of your order confirmation and you will receive a monthly invoice for your records.  Payment for the first month must be made at the time of booking.

    ·            Big Voice Directories require payment in advance of each publication otherwise we reserve the right to withhold the advertisement until payment is received.

    ·            If a package booking* is cancelled a £30 cancellation fee will apply – this will be used to recover the cost of the discount and administration fee.  The additional amount reclaimed will be as follows:

    ·          four month package = amount of months left to run x the difference between the one and four month rate.

    ·          Permanent advertiser = amount of months left until minimum six month period complete x the difference between the four month and regular rate.

    ·            In cases of overdue accounts, we will exercise our statutory rights under the Late Payment of Commercial Debts (Interest) Act 1998.

    ·            In the event of an overdue account, Big Voice Directories reserve the right to remove any advertisements or editorials from the magazine immediately and in addition charge a debt collection fee of £40.

    ·            Permanent advertisers must pay by standing order.

    ·            If you wish to upgrade your advertisement to a larger size during your booking period, you will be sent an invoice to cover the increased cost and you will need to change any Standing Orders accordingly.

    NOTES

    Where the term advert is used, this means any advert, editorial, article or any other material (eg community content) supplied for publication.*Package bookings are those which are subject to a discount and greater than one month in duration.
